Once you have submitted your RFQ through SourceLink, our specialist sourcing team will take over and work to find the best available options for your requirement. This article explains what happens at each stage after submission.
As soon as you submit your RFQ form, our sourcing team receives it immediately. You will receive an automated confirmation to the email address you provided, confirming that your request has been logged and is being reviewed.
Our team will review the details of your request and begin checking availability with our supplier network. This includes verifying stock levels, pricing, lead times, and any technical specifications you have provided. If your request is straightforward and the item is readily available, this stage is typically completed quickly.
If your request requires clarification — for example if a part number is ambiguous, if there are multiple variants available, or if we need to confirm delivery requirements — a member of our sourcing team will contact you before issuing a quotation. Responding promptly at this stage helps avoid delays.
Once sourcing is complete, we will send you a formal quotation by email covering:
Unit price and total cost
Lead time from order placement to delivery
Delivery cost and method
Any minimum order quantities or pack size requirements
Alternative options if the exact item requested is unavailable
If you are happy with the quotation, confirm your acceptance and our team will arrange the order. Depending on the product and supplier, you may be invoiced directly or directed to place the order through Sitex Direct. Full payment or trade credit terms will apply as agreed.
In some cases we may not be able to source a specific item. If this happens, we will notify you by email and suggest alternative products or suppliers where possible. We will always aim to provide a helpful response even if we cannot fulfil the exact request.
If your request is time-sensitive, please indicate this clearly in your RFQ submission and include your required delivery date. Our team will prioritise urgent requests where possible. See Typical RFQ Response Times for guidance on standard turnaround times.
